Open Position: Part-time Operations Assistant

We are looking for a generalist who is enthusiastic about helping our organisation thrive by supporting our teammates in a wide range of areas—from crafting an ideal workplace to controlling a system that manages millions of dollars in donations—and who is passionate about our mission to improve the quality of the long-term future.

In this role, you will have a direct impact on the output of our organisation by helping us maintain and optimise the processes we use in our day-to-day work. You will work at the heart of our organisation and gain insights into what it is like to run a multinational charity. In the process, you will rapidly acquire skills and knowledge from a variety of business domains that you can apply across many industries. You will become part of our team of intellectually curious, hard-working and caring people who are all driven to make the biggest difference we can.

Core responsibilities

  • Office management: You will help us engineer and maintain our ideal working environment in a modern office in Primrose Hill, London, contributing to a happier, more productive team. Responsibilities include: Overseeing general office operation, upgrading our workspace, continually improving internal processes so that everybody on our team can thrive and excel at their job.
  • Donation management: You will be in charge of maintaining and further optimising our system to process donations, which allows us to move millions of dollars per year to high-impact projects. Responsibilities include: Reconciling payments with our donation database, ensuring a seamless donation process by keeping our websites up-to-date and solving our donors’ problems, working with our IT team to further simplify our systems, generating useful donation statistics for other teammates.
  • Personal assistance: Your teammates will count on you to help them remove obstacles to their productivity. You will free up many hours of their time and allow them to focus on their key priorities. Responsibilities include: Making travel arrangements and scheduling appointments, taking care of common paperwork, finding the best office products and equipment to increase their productivity.
  • Accounting/Finance: You will help us ensure that various financial processes run smoothly and reliably. Responsibilities include: Processing payment and reimbursement requests, processing accounting transactions.

Depending on your strengths and interests, you will be given the chance to explore and contribute to other areas of our operations department including, but not limited to, coordinating grant logistics, supporting researchers with operations tasks, overseeing our payroll or helping us run top-notch research workshops.

Qualifications

We are looking for generalists who ideally have several of the following characteristics:

  • Taking joy in solving operational problems and getting things done
  • Optimisation mindset and a drive to continuously improve
  • Excellent attention to detail and organisational skills
  • Highly conscientious
  • Friendly, collaborative and excellent communication skills

We do not require applicants to have degrees in specific fields nor prior experience in operations, since many of the tasks can be learned by doing them. You will work most closely with our experienced operations team, who will be there to guide you. This is an excellent opportunity for anyone looking to gain expertise in operations and test their fit for such a role.

Additional information

  • Work quota: This is a part-time position with flexible working times varying from 8 to 16 hours/week.
  • Contract length: At least one year (including a trial period of 3 months), starting as soon as possible (but flexible).
  • Location: We are looking for applicants based in London. We expect them to work from our office in Primrose Hill at least one day per week, with the option to co-work with us more often.
  • Salary: Applicants will be offered a competitive salary of £25/hour (gross).

Application process

  • The first stage consists of a simple application form (deadline: 26 January). The form takes approximately 60 minutes to fill out. This will be followed by a one-day in-person work trial in the first week of February, which will be remunerated.
  • We will blind the first stage to ensure as fair an evaluation as possible. We will inform you of the outcome on 28 January. Final decisions (after the work trial) will be communicated on 7 February.
